Service Specification

What's included


  • Setup, configuration and maintenance of pupil and staff Chromebook ‘containers’ for each school allowing different policies to be applied to each.

  • Configuration and maintenance of education-specific policies and settings across the two containers.

  • Remote configuration of WiFi settings for the school and deployment of these settings to all Chromebooks; remote maintenance of these settings as required.

  • Configuration and maintenance of the ADFS background service that provides the single sign on process into managed Chromebook using the standard WeLearn365 username and password.

  • Remote deployment and configuration of the Smoothwall and RADAR cloud filtering apps (for all schools who subscribe to the ICTDS Digital Safeguarding Service).

  • Remote deployment of Android apps, Chrome apps and Chrome extensions by request.

  • Basic remote technical support for Chromebooks including initial fault identification, resolution where possible and partner escalation where necessary.

  • Remote configuration and where necessary, settings maintenance for one printer within the Google tenancy.

  • Standard ICTDS Service Desk support for technical and educational queries related to managed Chromebooks.

  • Chromebook deprovisioning to support warranty repairs.

  • Escalation of issues to Google through the ICTDS preferred Chromebook partner.

  • Management of standard warranty claims (during the standard three-year warranty period and where the warranty was purchased through ICTDS).

  • Set up of networked printers as required by the school.

  • Set up to access sims.net on teacher devices for registers etc.


    What's not included


  • Enrolment, management and support for any Chromebook not purchased from ICTDS (DfE Get Help with Technology devices are exempt from this exclusion).

  • Support or management for any Chromebook beyond the AUE (Automatic Update Expiry) set by Google.

  • Pedagogical or technical support for Android apps, Chrome apps or Chrome extensions.

  • Pedagogical support on the use of Chromebooks. (This can be purchased through a bespoke training commission).

  • Deployment of paid apps – this facility is not available for UK education tenancies.

  • Licence recovery - if a school decides to leave the ICTDS managed service, all Google MDM licences (Chrome Education Upgrade) will remain in the ICTDS Google Workspace for Education tenancy with no option to transfer to another Google tenancy.

  • Device Deprovisioning - if a school decides to leave the ICTDS managed service, no support for deprovisioning devices is included. This can, however, be purchased via bespoke technical support.

  • Insurance for Chromebook devices.

  • Support for Chromebook faults or warranty claims arising from misuse or accidental/wilful damage.

  • Warranty support for any Chromebook not purchased through ICTDS, including, but not limited to DfE devices.

  • Support for third-party devices connected to Chromebooks including but not limited to visualisers, interactive panels and storage devices.

  • Individual pupil/parent user support. All support requests must come through the school.

  • Any related service/component not specified as a service deliverable.


Customer responsibilities


  • Access to the ICTDS Managed Chromebook service requires the customer to pay an annual subscription via WES.

  • Schools will also need to subscribe to the annual WeLearn365+ service. This service provides the Google Workspace for Education accounts necessary to log into ICTDS managed Chromebooks.

  • Chromebook management is provided within a standard Google Workspace for Education Fundamentals tenancy and is subject to Google’s terms and conditions as well as any current or future restrictions or limitations Google enforces for this product.

  • In the event of a warranty claim, the school will need to provide full information of the fault and the device (including serial number) to allow ICTDS to manage the warranty process.

  • Where schools subscribe to the service part way through a WES subscription cycle, ICTDS reserves the right to levy a subscription charged on a pro-rata basis and based on months remaining until the standard WES subscription renewal date. Where this is the case, the balancing cost for the remainder of the subscription year will be communicated to the customer prior to their commitment.

  • The default save location for ICTDS Managed Chromebooks is Google Drive. Data saved to the local Chromebook is not backed up and will be regularly wiped by policy.
