This service covers the provisioning and maintenance of Google accounts for use with Chromebooks

Service Specification
What's included
Automatic provisioning of a Google Workspace for Education account for all staff, governor and pupil users who exist within the school’s SIMS MIS system.
Automatic provisioning of a single generic Google Workspace for Education account for use with EYFS children. This will be in the format UPNeyfs.
Ongoing account maintenance and troubleshooting for the above accounts including provisioning new starters and deprovisioning leavers.
Domain configuration and user settings/policies appropriate to education users.
Provisioning of the above accounts in the standard WeLearn syntax formats of initial.surname(number) for pupils and surname.initial(number) for staff and governors.
Configuration and maintenance of the ADFS background service that provides the single sign on process into Google Workspace for Education Fundamentals using the standard WeLearn365 username and password.
Setup and configuration of two cloud shared drives within Google Drive - UPN Staff Shared and UPN Pupil Shared.
Setup of a G Launch landing page for each customer based on a standard template but including bespoke links to the customer’s WeLearn365 home page.
Access to and technical support for the core Google Workspace for Education Fundamentals apps of Docs, Sheets, Slides, Sites, Forms, Meet, Drive and Classroom.
Support for the above core Google Workspace for Education Fundamentals apps across a range of devices on a best endeavours basis.
Google cloud storage - subject to the standard storage policies and quotas applied by Google to the Workspace for Education Fundamentals product and to ICTDS fair use policies.
Standard ICTDS Service Desk support for technical and educational queries related to the core Google Workspace for Education Fundamentals offering.
Escalation of issues to Google through the ICTDS preferred Google partner.
What's not included
G Mail – this service has been disabled as schools use the Office365 Outlook email service. There is no option to re-enable this app.
Pedagogical support for the core Google Workspace for Education apps. (This can be purchased through a bespoke training commission).
Technical or pedagogical support for any third-party apps or Google Workspace for Education non-core apps.
Technical or pedagogical support for any third-party Google integrations including but not limited to single sign on into web apps using a Google Workspace for Education account.
Access to any feature included in Google Workspace for Education Standard, The Teaching and Learning Upgrade or Google Workspace for Education Plus.
Individual pupil/parent user support. All support requests must come through the school.
Backup of data within the Google Workspace for Education/Google Cloud service.
Any related service/component not specified as a service deliverable.
Customer responsibilities
Access to WeLearn365+ requires the customer to pay an annual subscription via WES and based on the number of students on roll.
Schools must subscribe for all pupils. There is no option to subscribe for a Year Group, Class or indeed individual pupils.
Staff and governor accounts are provided free of charge where schools commit to a pupil subscription. Such accounts are not available where schools do not subscribe to the full service.
Accounts are provisioned from a school's MIS system. It is therefore a prerequisite that the customer advises on on the MIS system in use in school.
Google Workspace for Education accounts are provided within a standard Google Workspace for Education Fundamentals tenancy and are subject to Google’s terms and conditions as well as any current or future restrictions or limitations Google enforces for such accounts.
Cloud storage available to schools and their users will be determined by the standard storage policies and quotas applied by Google to the Workspace for Education Fundamentals product and will be subject to ICTDS fair use policies. Where schools exceed the principles of fair use, they will be asked to review and reduce their storage accordingly or will be offered a cost option to increase their available storage.
Where schools subscribe to the service part way through a WES subscription cycle, ICTDS reserves the right to levy a subscription charged on a pro-rata basis and based on months remaining until the standard WES subscription renewal date. Where this is the case, the balancing cost for the remainder of the subscription year will be communicated to the customer prior to their commitment.
Should the customer decide to discontinue their subscription, they will be entirely responsible for recovery of any data stored within the Google Cloud which they wish to retain. Such recovery must be completed within the current subscription period.
